Position Overview

TrackX Technology, Inc. is building next-generation technology for spine surgery and is seeking a highly capable, self-directed Controller to own and scale the company’s entire finance function. This is a true “build and run” role: one person operating as the full finance department, responsible for both execution and strategy.

You will report directly to the CEO and work closely with the executive team, investors, and external partners. You will create structure where none exists, implement systems, and provide the financial clarity required to scale a high-growth medical device company.

This role requires independence, judgment, and accountability. You will be expected to operate with minimal oversight, make decisions, and drive outcomes across accounting, finance, HR operations, and vendor management.

Core Responsibilities

Accounting & Financial Operations

  • Own all day-to-day accounting operations:
  • Accounts Payable (AP) and Accounts Receivable (AR, including billing and collections with hospital systems)
  • Payroll processing, compliance, and benefits coordination
  • Month-end and year-end close
  • General ledger maintenance and account reconciliations
  • Prepare accurate and timely financial statements (monthly, quarterly, annual)
  • Maintain GAAP compliance and ensure audit-ready financials
  • Oversee tax filings and coordinate with external tax providers

Cash Management, Forecasting & Reporting

  • Build and maintain:
  • 13-week cash flow forecast
  • Annual budget and rolling financial models
  • Scenario and sensitivity analyses for leadership
  • Deliver management and board-level reporting:
  • Cash position, burn, runway
  • Variance analysis vs plan
  • Key financial and operational metrics
  • Optimize cash management and working capital

AR Ownership & Revenue Cycle

  • Directly manage AR processes:
  • Billing, collections, and aging follow-up
  • Proactive outreach to hospital customers
  • Identification and resolution of payment issues
  • Establish scalable revenue cycle processes as the company grows

Systems, Infrastructure & Process Buildout

  • Implement and manage finance and expense systems:
  • QuickBooks Online (QBO), Ramp, Bill.com, etc.
  • Own credit card and expense workflows and policy enforcement
  • Build scalable accounting policies, procedures, and internal controls
  • Manage Smartsheet-based operational and financial tracking where applicable
  • Lead selection and implementation of new systems (e.g., PEO, expense platforms)

HR, Payroll & Benefits Administration

  • Administer HR operations via PEO (e.g., Insperity):
  • Onboarding/offboarding employees
  • Payroll and benefits setup
  • Evaluate and manage PEO relationships:
  • Annual benefits review and benchmarking vs historical plans
  • Vendor negotiation and selection (PEO, insurance, etc.)
  • Support compensation planning:
  • Bonus and commission calculations
  • Equity tracking and administration

Strategic Finance & Leadership

  • Act as a strategic partner to the CEO and executive team
  • Provide insight into financial performance and business drivers
  • Support fundraising, diligence, and investor reporting
  • Build financial narratives and materials for investors and board discussions

Operational & Administrative Ownership

  • Oversee travel and expense platform selection and optimization (e.g., Ramp)
  • Manage vendor relationships across finance, HR, and operations
  • Conduct periodic inventory reconciliation and financial alignment
  • Drive cross-functional initiatives requiring financial ownership

Required Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field
  • 5+ years of experience as an Accounting Manager or Controller
  • Experience owning full-cycle accounting in a small or scaling organization
  • Proven ability to build and improve financial processes from the ground up
  • Strong understanding of GAAP and financial reporting

Technical Skills

Required:

  • QuickBooks Online (QBO)
  • Advanced Excel (modeling, forecasting, scenario analysis)

  • Ramp (expense and card management)
  • Bill.com
  • Insperity or similar PEO platforms
  • Smartsheet
  • Avalara
  • Experience in a startup or medical device environment
