We are seeking a highly organized, detail-oriented professional who can serve as a trusted partner to leadership while helping coordinate day-to-day business operations.

This is not a traditional administrative assistant role. We are looking for someone who enjoys working across multiple projects, managing information, improving processes, and supporting financial and operational activities within a growing organization.

Key Responsibilities

Executive Support Family Office:

  • Manage calendars, meetings, and scheduling for leadership
  • Coordinate travel arrangements, itineraries, and business logistics
  • Prepare meeting agendas, presentations, reports, and follow-up action items
  • Organize and maintain digital files, records, and company documentation
  • Assist with special projects and strategic initiatives

Business Operations

  • Track and coordinate ongoing projects across multiple businesses
  • Maintain task lists, deadlines, and accountability systems
  • Assist with vendor management, contracts, and business correspondence
  • Support office operations and ensure organizational systems remain efficient
  • Coordinate with internal teams, consultants, accountants, attorneys, and vendors

Finance & Accounting Support

  • Assist with bookkeeping and financial recordkeeping
  • Maintain and reconcile expenses and company credit card activity
  • Support invoice processing, accounts payable, and accounts receivable tracking
  • Prepare reports and summaries for leadership review
  • Work within QuickBooks and Excel to maintain accurate records
  • Assist with budgeting, cash flow tracking, and financial organization
  • Coordinate documentation for accountants, lenders, and financial institutions

Qualifications

  • 3+ years of experience in executive support, operations, office management, accounting, finance, or a related field
  • Strong organizational and project management skills
  • Experience with QuickBooks required
  • Proficiency in Microsoft Excel and Google Workspace
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities simultaneously
  • Strong attention to detail and follow-through
  • Professional, discreet, and trustworthy when handling confidential information
  • Familiarity with real estate, retail, hospitality, or family office environments
  • Associate's or Bachelor's degree in Business, Accounting, Finance, or a related field
