Role Purpose (Why do we need this role?)
The role is responsible for all financial & management reporting, working capital management, corporate secretarial matters, and statutory & tax reporting in Malaysia. The focus is to ensure adequate and appropriate principles and procedures are in place to provide timely and accurate financial and management information and monitor the working capital requirements for the business.
Role Accountabilities (What is this role responsible for delivering?)
A. Reporting:
- Oversee and monitor the production of accurate and timely monthly accounts and commentaries in accordance with group reporting timetable – Profit & Loss, Balance Sheet & Cashflow Statements.
- Monitor and compile month end responsibilities, including prepayments, accruals, and recharge journals.
- Analyse monthly results’ variances and KPI’s against budget, forecast and previous estimates highlighting major variances and taking corrective action to minimise future variances.
- Drive, coordinate and prepare the annual budget and quarterly reforecasts in accordance with group reporting requirements.
- Provide statutory and tax reporting in line with group reporting requirements as well as international reporting standards.
- Ensure all accounts are reconciled to closed trial balance each month in accordance with timetable – review balance sheet reconciliations and ensure all outstanding items are cleared in a timely manner.
- Ensure compliance with local, state, and federal budgetary reporting requirements.
B. Working capital requirements:
- Supervise all aspects of the accounts payable and accounts receivable functions.
- Ensure that all creditors are paid in accordance with credit terms at the same time, ensuring that cash is managed as efficiently as possible.
- Review debtors on a weekly basis and highlight items requiring prompt actions.
C. Payroll & Taxation:
- Prepare monthly payroll reconciliation together with HR.
- Oversee pension plans and payment in time.
- Oversee yearly payroll tax reconciliation.
- Ensure statutory VAT return is filed.
- Ensure yearly corporation tax is filed.
- Review VAT and corporate tax reconciliation.
- Consult with head office and tax consultant regarding any tax issues.
D. Controls & Procedures:
- Review, document and implement adequate internal controls and procedures to ensure accurate and complete record keeping across all departments.
- Ensure that adequate accounting principles, practices, policies, and procedures are in place, which are appropriate for both statutory and group reporting.
- Regularly review standard procedures and processes to ensure consistency of accounting practices with group reporting practices.
E. Business Improvement:
- Lead the team to review current business processes within Finance Department to identify wastes and inefficiencies, suggest and implement business improvements processes to increase efficiencies.
- Document processes, procedures, and controls with a view to improving efficiency as well as meeting management reporting needs.
F. New acquisition and business:
- Work with Country Manager or Group Financial Controller to perform finance due diligence on potential acquisitions.
- Review and align the process and system of new acquisitions to existing business process.
- Determine, setup and implement interfacing of core system of new acquisition to finance system.
- Lead the team to perform agency work for any external principal.
G. General:
- Provide broad support to head office and all other branches.
- Develop and enhance processing systems to maximize efficiencies surrounding business core system.
- Perform other duties as assigned by your manager from time-to-time.
People Management
- Lead employees to meet the organisation's expectations for productivity, quality, and goal accomplishment.
- Provide oversight and direction to the employees in the team in accordance with the organisation's policies and procedures.
- Plan staffing levels and work with Human Resources to recruit, interview, select, hire, and employ the right people within budgetary guidelines.
- Coach, mentor and develop staff, including overseeing new employee onboarding and providing career development planning and opportunities.
- Consciously create an engaging workplace culture that emphasizes the identified mission, vision, guiding principles, and values of the organisation.
- Lead employees using a performance management and development process including goal setting, feedback, and performance development planning.
- Empower employees to take responsibility for their jobs and goals. Delegate responsibility, drive accountability and provide regular feedback for continuous improvement.
- Manage and maintain effective employee work schedules including assignments, job rotation, training, vacations, and paid time off, cover for absenteeism, and overtime scheduling.
Key Qualifications & Skills (What knowledge will ensure success in the role?)
Qualifications
- Fully qualified accountant with university degree or equivalent
- At least 8 years of experience in a relevant field. Preferably with 2 years of audit experience
Technical Skills
- Strong working knowledge of international financial reporting standards (IFRS)
- Experience in statutory reporting of large corporations
- Strong sense of internal control and process improvements
- Able to work independently with strong analytical skills
- Proficient in Power BI, Excel and Word and accounting systems ie. SAP
Professional Skills
- Good interpersonal skills and ability to communicate clearly with global finance teams
- Good team player
- Ability to investigate and problem solve, including having both an eye for detail and able to work with assumptions in situation of uncertainty.
