As our company continues to scale, we are looking for a Finance Operations Manager to help run the day-to-day financial operations across multiple companies and business units.

This role is ideal for someone who enjoys building structure, managing financial processes, and keeping operations running efficiently. You will work closely with the founders, our executive assistant, bookkeeper, and CPA to ensure the financial side of the business stays organized as we scale. If you enjoy bringing order to financial operations and owning important processes, you will thrive in this role.
Core Responsibilities
Contractor Payments & Payroll Coordination
- Manage bi-weekly contractor payment cycles across multiple payment platforms including Wise, PayPal, ACH, and wire transfers.
- Coordinate with payroll providers to ensure W2 employees are paid accurately.
- Maintain organized records of all payments and payment schedules.
- Ensure all team members, vendors, and contractors are paid correctly and on time.
Coach Payout Tracking & Reporting – Our consulting and coaching programs involve multiple coaches working with clients. This role will:
- Track active consulting clients
- Confirm contract timelines and payment status
- Calculate monthly coach payouts
- Generate payout reports for each coach
- Coordinate payout approvals and payments
- Accuracy and organization in this area is extremely important.
Agency Client Billing – Manage monthly billing for our agency clients. This includes:
- Generating invoices
- Tracking payment status
- Coordinating with clients on billing questions
- Ensuring invoices are paid on time
- This role will also assist with billing clients for travel-related expenses when our team travels for production or consulting work.
Expense & Reimbursement Management – Manage internal expense reimbursement processes including:
- Collecting receipts from team members
- Reviewing and organizing expense submissions
- Processing reimbursements
- Maintaining expense records for bookkeeping and tax purposes
Financial Coordination & Organization – Work closely with our bookkeeper and CPA to keep financial records organized. This includes:
- Helping categorize transactions
- Providing context on expenses
- Organizing financial documentation
- Ensuring financial records are clean and accurate
Financial Visibility & Reporting – Prepare simple financial summaries for leadership including:
- Monthly revenue summaries
- Expense tracking
- Payment reports
- Contractor payroll summaries
- This role helps leadership maintain clear visibility into company finances.
Qualifications
- 3–7+ years of experience in finance operations, accounting, bookkeeping, or financial administration.
- Experience working in high-growth startups, agencies, consulting businesses, or multi-entity companies is strongly preferred.
- Extremely detail-oriented with strong organizational skills.
- Comfortable managing multiple financial processes simultaneously.
- Strong communication skills and ability to coordinate across teams.
- High integrity and discretion when handling sensitive financial information.
Strong understanding of:
- Accounts payable and receivable
- Invoicing and billing
- Payroll coordination
- Expense tracking and reimbursements
- Financial organization and documentation
Bonus Experience (Nice to Have) – Experience supporting companies with:
- Multiple business entities
- Agencies or consulting businesses
- Creator economy or media companies
- Subscription or recurring revenue models
- Experience using financial tools such as: QuickBooks, Xero, Ramp, Bill.com, Wise, or similar platforms.
Compensation
Base Salary: $70,000 – $80,000 per year (depending on experience)
Paid Time Off, Holidays, Health Insurance

Remote.
Candidates located in Austin, Texas are strongly preferred for occasional in-person collaboration.
