About the Role

We are seeking a highly experienced and meticulous Finance Bookkeeper / Executive Assistant with a strong background in the Australian mortgage broking industry.

This role is ideal for a detail-oriented professional who understands the compliance-heavy nature of mortgage broking in Australia and thrives in an organized, process-driven environment.

The position will begin as a flexible project-based role (10–20 hours per week), with a clear pathway to transition into a full-time permanent role based on performance and business growth.

You will play a critical role in supporting mortgage operations, compliance, bookkeeping, and administration — acting as both a Broker EA/Admin Assistant and Compliance Officer.

Key Responsibilities📊 Bookkeeping & Finance Administration

  • Manage basic bookkeeping tasks including processing invoices, tracking expenses, and reconciling commission accounts
  • Monitor loan commissions and operational expenses
  • Prepare financial summaries and basic reports for the Principal Broker

🏦 Australian Broking & Loan Submission

  • Loan Packaging: Collect, verify, and organize client documents (payslips, bank statements, IDs) in line with Responsible Lending and NCCP obligations
  • Submission Management: Accurately prepare and submit loan applications through the aggregator platform
  • Pipeline Tracking: Monitor loans from submission to settlement
  • Liaise with clients, lenders, and third parties to ensure smooth progression

📋 Compliance & CRM Management

  • Maintain audit-ready client files compliant with ASIC and NCCP requirements
  • Ensure all documentation meets regulatory and internal compliance standards
  • Maintain expert-level proficiency in Connective aggregator software and its Compliance Centre
  • Manage and update client data within Mercury CRM
  • Maintain accurate pipeline tracking, file notes, and case status updates

Required Skills & Technical Expertise

  • Proven administrative/processing experience within the Australian Mortgage Broking industry (ESSENTIAL)
  • Hands-on experience completing and submitting Australian lender application forms
  • Expert working knowledge of Connective (MUST HAVE)
  • High proficiency in Mercury CRM
  • Basic understanding of NCCP and Responsible Lending obligations
  • Strong understanding of ASIC compliance requirements
  • Exceptional written and verbal communication skills
  • Meticulous attention to detail
  • CPA license (preferred but not mandatory)
