Finance Assistant (Payroll Focus – Full-Time)

Project SHARE – Niagara Falls, Ontario

Project SHARE is seeking a detail-oriented and highly organized Finance Assistant (Payroll Focus) to support our growing operations. This full-time role plays a key part in ensuring payroll accuracy, financial integrity, and effective administrative systems that support our programs and services across the community.

About the Role

Reporting to the Manager of Finance, the Finance Assistant is responsible for the preparation and coordination of payroll, while also supporting financial processes including donation tracking, reconciliations, and reporting.

Key Responsibilities

Payroll & Benefits Administration (Primary Focus)

  • Prepare payroll data for review and processing
  • Track employee time-off, attendance, and entitlements
  • Maintain accurate and confidential payroll records
  • Assist with ROEs, T4s, and payroll reporting
  • Coordinate benefits and RRSP documentation
  • Support payroll reconciliations and compliance track

 

Finance & Administrative Support

  • Assist with accounts payable/receivable processes
  • Prepare deposits and maintain financial records
  • Support GST/HST rebate documentation
  • Maintain organized filing systems
  • Reception coverage as required

·        Purchase office supplies and maintain adequate inventory of supplies

  • Assist with coordination of Snacks and Sneakers back to school program
  • Process payments for dental programs
  • Track distribution of gift card tracking and prepare reports
  • Assist with administration of Community Garden program
  • Assist with general correspondence for Executive Director

Donations & Fundraising Support

  • Prepare charitable tax receipts (training provided)
  • Reconcile event proceeds and support fundraising activities
  • Input material and financial donations into Donor Perfect, generate receipts and thank you letters
  • Assist with donor communications including direct mail appeals
  • Assist with preparation, registration and reporting for special events
  • Reconcile online donations from Canada Helps
  • Meet with donors to receive and receipt charitable gifts

Grant & Reporting Support

  • Assist with grant tracking and documentation
  • Support financial reporting and audit preparation

·        Complete regular reports for Food Banks Canada and Food Rescue

  • Complete required reporting to funders including the Niagara Region

Qualifications

  • Post-secondary education in Accounting, Business, or Administration (or equivalent experience)
  • 1–2+ years experience in payroll, bookkeeping, or finance support
  • Strong Excel skills and familiarity with accounting software (SAGE preferred)
  • High attention to detail and ability to manage confidential information
  • Strong organizational and communication skills

Compensation & Benefits

  • Hourly wage: $23.34
  • Full-time position (37.5 hours/week)
