We are seeking a high-caliber Executive Operations & Fulfillment Coordinator to serve as the critical link between our Technology, Sales, and Finance departments. This role is designed for a process-oriented professional who can manage high-level executive administration.

Key Responsibilities:

  • Track implementation and service activation orders from inception to completion, ensuring all required approvals and system updates are finalized prior to Sales Operations handover.
  • Monitor aging work orders and proactively follow up with Field Implementation, Finance, and Back Office teams to resolve delays.
  • Prepare high-level presentations, reports, and executive correspondence while managing departmental calendars and meeting efficiency.
  • Actively work within CRM systems (Salesforce, Microsoft Dynamics, etc.) to monitor Sales-to-Cash stages, ensuring proper process progression and data accuracy.
  • Generate structured performance reports and dashboards regarding order completion, backlogs, and delay justifications.
  • Create and track material/service requests against the department budget, coordinate invoice submissions with Finance, and manage/reconcile petty cash.
  • Identify gaps in workflow transitions and coordinate follow-up across involved teams to ensure billing triggers and provisioning are synchronized.
  • Maintain structured digital filing systems and ensure full compliance with internal financial and operational procedures.

Requirement:

  • Bachelor’s degree in Business Administration, Telecommunications, Management, or a related field.
  • 3–5 years’ experience in operations coordination, CRM process tracking, or executive support—ideally within a telecom or technical environment.
  • Hands-on experience with CRM platforms (Salesforce/Dynamics) and high proficiency in Microsoft Office (specifically Excel for reporting).
  • A strong understanding of the Sales-to-Cash lifecycle and workflow-based platforms.
  • A demonstrated ability to significantly reduce aged implementation orders and clear backlogs.
  • Expert skills in providing timely, precise, and professional status updates on service fulfillment.
  • Extreme attention to detail, ensuring 100% documentation completeness prior to departmental handovers.
  • High accuracy in processing budget requests and performing complex financial reconciliations.
