Executive Assistant to the CEO

Job Purpose

The Executive Assistant to the Chief Executive Officer provides high-level executive, operational and administrative support to the CEO and leadership team. This role is central to the effective operation of the executive office, ensuring priorities are managed efficiently, communications are coordinated, and key business initiatives progress smoothly.

The successful candidate will be highly organised, proactive and discreet, with the ability to manage multiple priorities in a fast-paced environment. They will act as a trusted partner to the CEO, anticipating needs, maintaining efficient systems and ensuring actions and commitments are delivered.

Key Responsibilities

Manage and optimise the CEO's calendar, ensuring time is effectively prioritised and protected.

Support the management of the CEO's communications, including email, Microsoft Teams and other correspondence.

Act as a key point of contact between the CEO and internal and external stakeholders.

Coordinate meetings, business reviews, customer engagements, follow-up activities and company events.

Track leadership actions and commitments, ensuring timely follow-through and completion.

Coordinate travel arrangements, renewals, invoicing and general executive administration.

Prepare presentations, reports, correspondence and other executive documentation.

Develop and maintain efficient administrative systems and processes to support the executive office.

Handle confidential and sensitive information with the highest level of discretion and professionalism.

Qualifications & Experience

Excellent written, verbal and numerical skills.

Minimum 5 years' experience supporting senior executives or C-suite leaders.

Proven experience managing complex diaries, communications and competing priorities.

Demonstrated ability to coordinate projects and drive actions through to completion.

Advanced proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams.

Experience using Microsoft Copilot and other digital productivity tools.

Sound understanding of business administration and financial administration activities.

Highly organised with exceptional attention to detail.

Proactive, resourceful and solutions focused.

Excellent interpersonal, written and verbal communication skills.

Strong judgement and ability to manage confidential information.

Resilient and adaptable in a dynamic business environment.

High levels of professionalism, integrity and accountability.

Reporting Relationship

Reports directly to the Chief Executive Officer.

This role is offered on a specified purpose contract basis to cover the leave period of our colleague. This will be for a minimum of 6 months.
