As a Personal Assistant, you are the strategic "right hand" to the firm's Partners. This is not a general administration role; it is a specialized position requiring a deep understanding of the Audit lifecycle and professional services operations. You will manage critical administrative workflows-from conflict checks to 60-day lockdown trackers-that allow our Partners to focus on high-level decision-making and strategic client advisory. Your Impact
- Audit & Compliance Administration: Support the front-end of the audit process by preparing conflict checks and client acceptance documentation. Manage the execution of engagement letters, opinions, and formal correspondence, ensuring all financial packages are perfectly collated.
- Practice Management (APS/Vault): Take full ownership of setting up new clients and maintaining core database details within APS and Vault. Process monthly client billing cycles and proactively follow up on outstanding invoices to protect healthy firm cash flow.
- Operational Tracking: Manage essential firm tracking systems, including staff movement schedules for specific divisions and the critical 60-day audit lockdown tracker, ensuring all administrative compliance markers are met without fail.
- Performance Reporting: Prepare weekly timesheet summaries and HARRIE training compliance reports for Partners. Act as the primary point of contact for internal staff, confidently following up on outstanding items to ensure 100% team compliance.
- Executive Liaison & CPD Management: Coordinate high-priority divisional meetings and in-person training sessions. Manage Partner CPD (Continuing Professional Development) registers, ensuring their professional compliance certifications remain perfectly up to date.
- Proposal Support: Assist in compiling and reviewing comprehensive client proposals, ensuring that the firm's corporate value proposition is presented with the highest level of professionalism and accuracy.
What You Bring
- The Experience: Minimum of 5+ years of dedicated experience as a Personal Assistant, Executive Assistant, or Practice Administrator specifically within an Audit or public accounting environment. You deeply understand the urgency, seasonal cycles, and regulatory nuances of the audit industry.
- Technical Mastery: Strong, functional proficiency in APS tools and practice management systems is essential. You are highly comfortable navigating software to pull operational reports and manage complex billing pipelines.
- Operational Excellence: Exceptional organizational and time-management skills. You are a natural multitasker who can easily manage trackers, reports, and executive diaries simultaneously without losing sight of the finer details.
- Communication Prowess: Superior verbal and written English communication skills. You can confidently collaborate with both onshore Partners and offshore production teams, maintaining a professional yet firm tone when chasing outstanding items.
- The Mindset: A exceptionally high level of proactiveness. You don't wait for instructions; you actively anticipate the needs of the Partners and resolve administrative bottlenecks before they can impact executive schedules.
