We’ve collaborated with elite brands like Google, Salesforce, and the Chicago Blackhawks. We are seeking a high-output, execution-focused Operations & Finance Coordinator to join our team.
This is a "boots-on-the-ground" role. You will not be responsible for high-level strategy or client management; instead, you will be the engine that runs our sales, marketing, and musician operations. You will work directly under the Operations Lead to ensure our systems are accurate, our campaigns are live, and our data is reliable.
Core Responsibilities1. Sales & Marketing Operations
- Outbound Management: Optimize and monitor email sequences in Instantly.ai and manage the integration between Orum and GoHighLevel (GHL).
- Automated Campaigns: Build and maintain automated re-engagement loops within GHL for cold leads, former customers, and "closed-lost" deals.
- Paid Media Support: Assist in launching campaigns across Google Ads (PMAX), Meta, Bing, and TikTok. Add tracking pixels to web properties and automate ROAS reporting.
- Content Coordination: Manage the execution of monthly newsletters, refresh blog content for LLM optimization, and help coordinate other special campaign projects.
2. Revenue Operations (RevOps) & Reporting
- Data Integrity: Ensure 100% accurate lead attribution for every record added to the CRM.
- Performance Tracking: Build and manage reports for First Meetings, Deals by Owner, and Monthly Commissions.
- KPI Management: Own the Weekly KPI tracker; ensure team members update their metrics and create training videos to standardize the reporting process.
- Sales Enablement: Implement sales scoring frameworks in GHL and track AE performance using custom AI tools that we’ve built in-house.
3. Musician & Gig Logistics
- Musician OS: Oversee ongoing management and improvement of our internal Musician OS system.
- Gig Coordination: Track gigs from booking to completion, ensuring event details, agreements, W9s, and staffing confirmations are 100% accurate.
- Lifecycle Automation: Launch and monitor automated customer review flows and upsell pages within GHL.
- Compliance: Manage the automated job screening workflow for new musicians and track year-round insurance compliance.
4. Media & Video Coordination
- Asset Management: Aggregate video footage into centralized folders for editing.
- Editor Management: Coordinate with video editors to produce high-quality reels for Corporate, Wedding, and Sporting events.

Requirements
- 3–5 years experience in operations, RevOps, or administrative support in a fast-paced environment.
- Technical Proficiency: You must be comfortable navigating CRM workflows and connecting various software tools.
- Detail Obsession: You take pride in finding data inconsistencies and fixing them before they are flagged by leadership.
- Reliability: You are a consistent executor who follows SOPs to the letter without needing constant reminders.
- We are looking for someone to work US Central Time zone hours.
Success at 90 Days
- Clean Data: Full attribution is active for 100% of GHL records with zero backlog.
- Reporting Rhythm: Weekly KPI trackers and monthly commission reports are delivered accurately and on time.
- Campaign Launch: Automated re-engagement and customer review flows are live and generating measurable activity.
- Asset Library: A centralized video library is fully organized and supporting the production of new marketing reels.
