ABOUT THE ROLE: We are seeking a highly organized, hands-on Head of Operations to join our team. This is a critical role within a small but fast-paced business, responsible for owning and executing day-to-day operational workflows while also driving process improvements and team development. This role is ideal for someone who thrives in a dynamic environment, is comfortable rolling up their sleeves, and can balance execution with strategic thinking. The right candidate will play a key role in stabilizing and scaling our operations function.
RESPONSIBILITIES:
- Own the end-to-end order fulfillment process, including order entry, routing, shipping coordination, and invoicing.
- Manage retailer compliance requirements and routing guides for key accounts including Target, Michaels, World Market, Barnes & Noble, Indigo, and others.
- Execute and oversee EDI processes, including order receipt, acknowledgments, and troubleshooting errors.
- Coordinate closely with third-party logistics (3PL) partners to ensure accurate and timely shipments.
- Manage domestic and FOB shipments, including communication with freight forwarders, factories, and internal teams.
- Generate and manage pick lists, routing instructions, and shipping documentation to ensure smooth warehouse execution.
- Monitor daily order flow, proactively identifying and resolving issues to prevent delays or chargebacks.
- Serve as the primary point of contact for internal teams including sales, product, and finance on all operational matters.
- Identify opportunities to improve processes, increase efficiency, and reduce errors across the operations function.
- Develop and document standard operating procedures (SOPs) to create consistency and scalability.
- Provide guidance and mentorship to junior team members as needed.
- Step into hands-on execution where needed to ensure business continuity and operational success.
QUALIFICATIONS:
- 5+ years of experience in operations, supply chain, or order management, preferably in a consumer goods or retail environment.
REQUIRED SKILLS:
- Strong experience with EDI systems and retailer compliance requirements (Target, Michaels, etc.).
- Experience working with 3PL partners and managing domestic and international shipments, including FOB.
- Highly organized with exceptional attention to detail and ability to manage multiple priorities.
- Strong problem-solving skills with a proactive, solution-oriented mindset.
- Comfortable working in a fast-paced, hands-on environment with shifting priorities.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office, particularly Excel.
PREFERRED SKILLS:
- Experience with ERP or order management systems preferred.
- Leadership or mentorship experience is a plus.
PAY RANGE AND COMPENSATION PACKAGE: This is a hands-on role. While this position includes leadership responsibilities, the successful candidate will be directly involved in day-to-day operational execution.
