Your opportunity
The Gift Implementation & Compliance Officer plays a vital role in supporting the administration of donor gifts and financial awards, both endowed and expendable. Reporting to the Director, Operations & Advancement Services, this position is responsible for interpreting gift agreements, ensuring gifts are implemented in compliance with agreements and university policies, ensuring stewardship plans are set up and pending steps are entered on the ARBOR database for timely completion, drafting and amending summary sheets and award records, managing award setup and fund transfers so awards are ready for disbursement, managing the approvals process for donations matching, managing financial records, proactively monitoring fund accounts, resolving issues related to disbursement, managing pledge reminders and complex pledge installments, fund close-out, tracking and reporting on award statistics, and liaising with internal and external stakeholders.
The successful candidate will demonstrate strong analytical skills, attention to detail, and a commitment to service excellence.
Your responsibilities will include
- Interpreting and applying policies and procedures to ensure gifts are implemented in compliance with gift agreements and university policies
- Verifying gift agreements and award terms, and verifying gifts are coded correctly
- Developing and executing gift implementation strategies and award management workflows
- Producing complex statistical and/or financial reports for internal use
- Monitoring, recording, reconciling and/or reporting on donation accounts
- Keeping well-informed on theories related to equity, diversity and inclusion
- Disseminating information regarding the disbursement of awards, and proactively tracking donor pledges and award distributions
- Serving as a resource to colleagues and providing guidance on award-related matters
Essential Qualifications
- Bachelor’s Degree or acceptable combination of equivalent experience.
- Minimum five years of relevant business administrative experience in donor relations, financial administration, student awards, or a related field
- Experience working in the fundraising sector, ideally in a post-secondary institution
- Experience interpreting complex gift agreements, ensuring they comply with university policies and guidelines, as well as external policies
- Experience developing strong working relationships with internal and external stakeholders
- Experience monitoring deadlines, tracking deliverables, and pro-actively communicating deadlines and significant milestones
- Experience monitoring restricted and unrestricted funds
- Experience working with confidential and sensitive information
- Demonstrated commitment to equity, diversity, and inclusion principles
- Strong analytical and problem-solving abilities
- Excellent written and verbal communication skills
- Strong interpersonal skills; ability to facilitate sensitive conversations with stakeholders when amendments to terms are required
- High level of accuracy and attention to detail
- Proficiency in data entry and document processing requiring manual dexterity
- Strong technical proficiency using FIS, ARBOR, or similar Financial Information Systems or donor information databases
