We’re looking for an experienced Finance Officer to take ownership of IvyStreet’s financial operations. This is not an entry-level role. We need someone who is detailed, deeply reliable and able to work with a high degree of autonomy.
The role is structured around the rhythm of the agency. 2 days per week across the first three weeks of the month, stepping up to 3 days in the final week to support end-of-month close and reporting. You’ll enjoy flexibility across office and WFH days, with a collaborative team around you.
You’ll work primarily in Pegasus (our industry-specific quoting, invoicing and financial management platform), Employment Hero for payroll and HR, and liaise with our external accounting partner where required
WHAT YOU’L
Your key accountabilities span five areas:
Accounting System Management
• Own and maintain IvyStreet’s financial data in Pegasus as the single source of truth
• Reconcile all bank accounts, credit cards, loan and hire purchase facilities
• Manage accounts payable, supplier and client records, and NAB Connect under dual authorisation
• Maintain insurance policy records and tech stack subscriptions
• Liaise with Davidsons Accountants on end-of-month processes and system integrity
Revenue Posting & Receipting
• Load and manage client invoices in Pegasus; process receipts and maintain accounts receivable
• Monitor debtor days and actively follow up outstanding invoices
• Support the Client Service team with new client onboarding, domain and hosting renewals
Payroll
• Coordinate fortnightly payroll through Employment Hero with accuracy and full compliance
• Facilitate single touch payroll, PAYGW and SGC payments and lodgements
• Monitor timesheets, manage leave and maintain employee records in Employment Hero
Financial Reporting
• Prepare and deliver end-of-month reports to the leadership team within agreed timeframes
• Prepare and lodge quarterly BAS and ensure ongoing ATO compliance
• Support Davidsons with end-of-year documentation for financial statements and tax returns
Financial Planning
• Support the MD and leadership team with budgeting, forecasting and cashflow management
• Proactively identify risks, anomalies and opportunities for process improvement
• Contribute to embedding and optimising Pegasus as our central financial system
LOOKING F
To be considered for this role, you must bring:
• Minimum 7 years’ experience in a bookkeeping, payroll or finance officer role
• Demonstrated proficiency with industry-specific financial or agency management platforms (Pegasus or similar highly regarded)
• Strong experience with payroll processing and compliance — Employment Hero experience a bonus
• Solid understanding of BAS preparation, PAYGW, SGC and ATO compliance requirements
• High attention to detail and accuracy in reconciliations and data entry
• A proactive, self-directed work style — you don’t wait to be told what needs doing
• Discretion and integrity when handling sensitive financial and employee information
• Confidence using Google Drive, Microsoft Office and cloud-based tools
Bonus points if you have:
• Certificate IV in Bookkeeping/Accounting or equivalent qualification
• Experience in a creative agency, marketing or professional services environment
• Familiarity with Pegasus or similar industry specific finance tools

Competitive salary $75,000–$85,000 + super (pro rata), determined by your experience and qualifications.
