Position Overview

We’re seeking a highly detail-oriented and proactive Finance Coordinator to own and manage the organization’s day-to-day financial operations end-to-end. This role is critical to maintaining financial accuracy, optimizing cash flow, and ensuring a seamless billing experience for members, clients, and vendors.

The ideal candidate thrives in a fast-paced environment, is exceptionally organized, and takes full ownership of billing, reconciliation, collections, and reporting processes. You’ll work closely with the CEO, serving as a key partner in financial visibility and operational decision-making.

US-based candidates only, strong preference given to candidates in EST timezone.

Key Responsibilities:

  • Manage all credit card and payment records, including updates, replacements, and troubleshooting payment issues
  • Serve as the primary point of contact for member billing inquiries, resolving discrepancies with clarity and professionalism
  • Review and process vendor invoices (coaches, contractors, service providers), ensuring accuracy and CEO approval
  • Perform detailed audits of monthly vendor invoices, verifying hours, deliverables, and agreed-upon rates
  • Own the full subscription reconciliation process and reporting, including identifying new accounts, cancellations, pauses, and discrepancies
  • Track and manage billing for all paid events (webinars, workshops, specialty programs)
  • Submit delinquent accounts to the collections agency with complete and accurate documentation
  • Escalate billing, payment, and collections decisions for approval, ensuring compliance with internal controls

Qualifications

  • 2+ years of experience in billing, financial operations, or accounts receivable
  • Experience with CRM and payment platforms (Keap/Infusionsoft strongly preferred)
  • Exceptional attention to detail with strong reconciliation and analytical skills
  • Ability to manage multiple financial workflows simultaneously with high accuracy
  • High level of discretion and comfort handling sensitive financial information
  • Strong written communication skills for member and vendor interactions
  • Proven ability to follow structured processes and escalate decisions appropriately
