About The Role
The Executive Assistant (EA) role at Crusoe is designed to provide comprehensive support to senior finance leaders, enabling them to focus on strategic initiatives and operational excellence. This position is initially remote, with plans to transition to an in-office setting once a local office becomes available. The ideal candidate is a highly adaptable, proactive professional capable of managing complex schedules, anticipating needs, and ensuring seamless communication across multiple teams and stakeholders. The EA will play a vital part in maintaining operational efficiency, supporting event planning, and facilitating internal and external meetings. Collaboration with other EAs and Workplace Managers is essential to ensure alignment and smooth execution of company activities. The role offers an opportunity to contribute directly to Crusoe's mission of building the future of energy-efficient AI infrastructure while growing within a dynamic and innovative environment.
Qualifications
- 3-5 years of experience in an executive administrative role
- Proficiency in Google Workspace (Gmail, Docs, Sheets, Drive, Slides, etc.)
- Exceptional written, verbal, and interpersonal communication skills
- Strong attention to detail and accuracy in logistics and communication
- Ability to exercise discretion and maintain confidentiality
- Proven ability to prioritize conflicting needs and manage time effectively
- Experience planning and executing team offsites and large-scale events
- Proficiency in content creation, including decks and agendas
- Proactive mindset with a focus on process improvement
- Ability to work independently while keeping stakeholders informed and aligned
- Experience supporting technology or software teams is desirable
- Positive attitude and growth mindset
- Eagerness to learn and grow within the organization
Responsibilities
- Provide high-quality, timely administrative support to Crusoe's finance leaders, including managing complex calendars, processing expense reports, and preparing confidential correspondence
- Coordinate schedules for leadership's direct reports, ensuring alignment across teams and external partners
- Manage and prioritize scheduling requests to optimize executives' time and productivity
- Enhance meeting effectiveness by preparing agendas, tracking key discussion points, documenting notes, and ensuring follow-up on action items
- Plan and execute leadership offsites, team events, and gatherings, including logistics, vendor coordination, and on-site support
- Identify and implement new processes to improve team collaboration, efficiency, and communication
- Coordinate travel arrangements, conference registrations, and company-wide events in collaboration with other EAs and Workplace Managers
- Assist with occasional personal tasks and errands for leadership as needed
- Perform miscellaneous clerical and administrative duties to support team operations
- Maintain availability during standard work hours, with flexibility for urgent matters outside regular hours
