Description:
Client is seeking a proactive, high-caliber Executive Assistant to serve as a strategic partner to our Leadership Team (LT). This is not a traditional support role; it is a hybrid position combining high-level administrative partnership with light project management. The successful candidate will act as the "connective tissue" for the department, ensuring operational efficiency, managing complex logistical puzzles, and maintaining a professional environment in our Cambridge office.
Job Responsibilities:
- Calendar Architecture: Proactively manage complex, high-volume Outlook calendars, anticipating conflicts and prioritizing high-impact engagements.
- Global Travel & Logistics: Orchestrate seamless domestic and international travel itineraries, ensuring full compliance with corporate policy and optimal time management for LT members.
- Financial Coordination: Manage the end-to-end lifecycle of Purchase Orders (POs) and Scopes of Work (SOWs), ensuring accurate tracking and timely budget reporting.
- Digital Asset Management: Maintain and optimize SharePoint and OneDrive environments to ensure team resources are organized and accessible.
- Event Management: Partner with Corporate Meetings and Congresses to execute large-scale team events and high-stakes leadership meetings.
Qualification:
- Experience: 3+ years of progressive administrative experience, preferably in a corporate or biotech setting.
Education:
- Associate’s degree required; Bachelor’s degree preferred.
- Technical Savvy: Expert proficiency in Microsoft Office 365 (Outlook, SharePoint, Excel, and OneDrive).
- Mindset: A solution-oriented multitasker who remains calm and professional under pressure.
- Communication: Exceptional verbal and written skills with a knack for navigating ambiguous situations.
