About The Role

The Executive Assistant serves as a trusted operational partner to the CEO and the Executive Committee, ensuring that leadership can focus on strategic priorities by managing the day-to-day logistics, coordination, and operational details seamlessly. This role combines executive support, project management, operational problem solving, and agency facilitation. The ideal candidate is highly organized, exhibits sound judgment, maintains discretion, and has a keen eye for detail. They should be proactive, anticipating needs before they arise, and capable of bringing order to complex situations. The Executive Assistant will work closely with leaders across Human Resources, Finance, Operations, Office Management, IT, and other agency teams to coordinate initiatives, eliminate obstacles, and ensure the smooth functioning of the Executive Committee and broader agency operations. This role offers an exciting opportunity to support a fast-paced leadership team and contribute to the overall efficiency and success of the organization.

Qualifications

  • 5+ years supporting senior executives in professional services, consulting, healthcare communications, marketing, or agency environments
  • Proven experience supporting multiple executives simultaneously
  • Outstanding organizational and project management skills
  • Excellent written and verbal communication abilities
  • Strong proficiency in PowerPoint and presentation development
  • Proficiency with Google Workspace and Microsoft Office Suite
  • Exceptional attention to detail and follow-through
  • High level of discretion and professionalism
  • Ability to manage multiple priorities in a fast-paced environment
  • AI curiosity, knowledge, and application experience related to executive support (preferred)

Responsibilities

  • Manage complex calendars for the CEO and Executive Committee members, prioritizing and protecting their focus time
  • Coordinate meetings with internal and external stakeholders, balancing competing priorities effectively
  • Arrange domestic and international travel, including itineraries, transportation, accommodations, and contingency plans
  • Prepare, review, and reconcile expense reports and track executive timesheets and administrative requirements
  • Develop agendas, prepare meeting materials, and follow-up on action items to ensure productive meetings
  • Handle confidential and sensitive information with discretion and professionalism
  • Build, edit, and refine executive presentations using PowerPoint and Google Slides
  • Coordinate document approvals, signatures, and distribution processes
  • Maintain organized digital files and shared resources for easy access and retrieval
  • Partner with HR, Finance, Operations, Office Management, and IT teams to support initiatives, onboarding, and operational projects
  • Coordinate logistics for in-person and virtual meetings, workshops, offsites, town halls, and agency events
  • Arrange meeting spaces, catering, audiovisual support, travel, and vendors for various events
  • Support agency celebrations, recognition events, and internal communications to foster a positive work environment
  • Assist with logistics for new business pitches, including assembling presentation materials and coordinating travel and meeting arrangements
  • Identify opportunities to improve administrative workflows and operational efficiency
  • Proactively anticipate executive and agency needs, providing solutions to potential issues
  • Recommend tools, templates, and approaches to enhance productivity and effectiveness
  • Continuously seek opportunities to streamline processes and support the strategic goals of the organization
