Global Investment Firm in NYC seeking a strong and experienced Executive Assistant that will offer White Glove Support!
Support CEO and interact with other C-Level Executives on C-suite
CEO’s time with exceptional calendar management—prioritizing thoughtfully, protecting focus time, and recalibrating quickly as needs evolve
- Support CEO with heavy calendar management and prioritering thoughtfully and recalibrating quickly as needs evolve
- Set an elevated standard through polish, poise, and precision—tight organization, proactive follow-through, and consistently refined communication
- Lead with a service-first, team-first mindset—partnering across the CEO Office to deliver flawless execution
- Build immediate confidence with senior stakeholders and external partners through discretion, responsiveness, and executive presence
Responsibilities
- Oversee a high-volume, high-touch calendar—coordinating virtual and in-person meetings, securing rooms, and ensuring a polished guest experience from arrival to departure
- Coordinate end-to-end logistics with the CEO Office and the Board of Directors- aligning stakeholders and decision-makers with tact, clarity, and efficiency
- Anticipate shifting priorities and continually optimize the schedule to maximize impact, pacing, and preparedness
- Maintain pristine, real-time records across meetings, calls, travel, and personal commitments
- Plan and manage complex, multi–time zone travel with a true concierge approach—anticipating changes and resolving issues with calm urgency
- Produce polished itineraries and run-of-show details to ensure smooth travel and on-the-ground execution
- Provide select personal support as requested, with discretion, taste, and exceptional attention to detail
- Partner with Events Team to deliver elevated, impeccably executed experiences for speaking engagements, retreats, and firmwide moments
- Serve as the first point of contact for inbound calls and requests—representing the CEO Office with warmth, discretion, and exceptional judgment
- Track deadlines and dependencies; surface risks discreetly and drive follow-through across stakeholders
- Manage expenses in Concur with precision—reconciling promptly and seeing each submission through to completion
- Balance competing deadlines with sound judgment; recommend process improvements that elevate service, speed, and quality
Requirements
Work onsite 5 days /week. Must be available to work overtime when needed
Must have experience supporting CEO level for a financial or corporate environment.
- Maintain high responsiveness outside standard New York business hours (including select weekends); consistent email monitoring is essential given the CEO’s global schedule.
- Manage multiple workstreams with urgency and care—anticipating needs, triaging swiftly, and driving each item to a high-quality close.
- Communicate with clarity and polish—tailoring message, tone, and detail for senior leaders, peers, LPs, and external partners.
- Advanced fluency in Microsoft Outlook and the Microsoft Office suite (Word, Excel, PowerPoint).
