About The Role
We are currently seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our CEO. This full-time or part-time position offers the flexibility of remote work for the right candidate, with a preference for individuals located in Northern Virginia, particularly around Reston, VA. The ideal candidate will be a dependable team player with exceptional communication skills, a positive attitude, and the ability to handle multiple priorities efficiently. In this role, you will serve as a key liaison between the executive and internal/external stakeholders, manage complex schedules, coordinate meetings, and assist with various projects and administrative tasks to ensure the smooth operation of the executive office.
Qualifications
- High school diploma or GED; Bachelor’s degree preferred, especially in Communications or related fields
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in Google Workspace (Docs, Sheets, Slides) and relevant software tools
- Highly proactive with the ability to anticipate needs and address them proactively
- Attention to detail with a high degree of accuracy
- Tech-savvy and quick learner of new technologies and tools
- Discretion and integrity in handling confidential information
- Ability to work independently and collaboratively within a team
- Excellent problem-solving skills and adaptability
- Preferred knowledge of "Buy Back Your Time" by Dan Martell and "The Founder & The Force Multiplier" by Adam Hergenrother and Hallie Warner
- Legal work authorization in the USA without sponsorship requirements
Responsibilities
- Provide high-level administrative support to the CEO, including managing emails, calendars, and schedules
- Arrange travel plans and accommodations, ensuring efficient and cost-effective bookings
- Coordinate and prepare for meetings, including setting agendas, taking minutes, and following up on action items
- Attend client meetings both in-person and via Zoom, documenting key discussion points and outcomes
- Draft, edit, and manage correspondence, reports, presentations, and other documents
- Handle confidential and sensitive information with utmost discretion and professionalism
- Manage client and employee communications during onboarding and off-boarding processes, including conducting surveys
- Organize and maintain electronic and physical files, records, and documentation
- Prepare and process expense reports, invoices, and other financial documentation accurately and timely
- Assist with special projects, providing research, data analysis, and support as needed
- Coordinate internal and external communications, acting as a liaison between the CEO and stakeholders
- Manage task assignments and support basic project management activities
- Perform additional administrative duties to support the overall efficiency of the executive office
