Our client is an investment bank. They seek an Executive Assistant to join their Manhattan, NY office.

Responsibilities

  • Deliver high-level executive assistance to multiple managing directors by anticipating needs and proactively managing priorities
  • Coordinate complex calendars and scheduling across internal and external stakeholders
  • Organize logistics with executive assistants for meetings and client engagements, including conference rooms and catering
  • Maintain executive contact data within the firm’s CRM system
  • Arrange complex domestic and international travel itineraries
  • Monitor travel changes and communicate real-time updates as needed
  • Review, code, and submit executive expenses in QBO accurately and on time
  • Prepare briefing materials, presentations, and executive-facing documents as required
  • Act as a professional point of contact for clients, partners, and senior stakeholders

Requirements

  • Bachelor’s degree in Business Administration, Communications, Marketing, or a related field preferred
  • 4+ years of experience as an executive assistant with increasing operational or office management responsibility
  • Experience overseeing office operations in a professional services or financial services environment is preferred
  • Strong organizational and prioritization skills
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Ability to operate independently while collaborating cross-functionally
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word
  • Experience with QBO strongly preferred
