Our client is an investment bank. They seek an Executive Assistant to join their Manhattan, NY office.
Responsibilities
- Deliver high-level executive assistance to multiple managing directors by anticipating needs and proactively managing priorities
- Coordinate complex calendars and scheduling across internal and external stakeholders
- Organize logistics with executive assistants for meetings and client engagements, including conference rooms and catering
- Maintain executive contact data within the firm’s CRM system
- Arrange complex domestic and international travel itineraries
- Monitor travel changes and communicate real-time updates as needed
- Review, code, and submit executive expenses in QBO accurately and on time
- Prepare briefing materials, presentations, and executive-facing documents as required
- Act as a professional point of contact for clients, partners, and senior stakeholders
Requirements
- Bachelor’s degree in Business Administration, Communications, Marketing, or a related field preferred
- 4+ years of experience as an executive assistant with increasing operational or office management responsibility
- Experience overseeing office operations in a professional services or financial services environment is preferred
- Strong organizational and prioritization skills
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Ability to operate independently while collaborating cross-functionally
- Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word
- Experience with QBO strongly preferred
