About the Role

The Executive Assistant is accountable for the coordination and management of complex schedules, meetings, and travel arrangements and assisting with the management of daily business activities. We are looking for someone who pays strong attention to detail, is highly organized, and has experience in project coordination and management, supporting multiple high energy executives. (Chief Financial Executive and the Head of Infrastructure and Information Technology). Excellent oral and written communication skills are also required to interface in a cross functional team environment with various levels of management.

Responsibilities

  • Provide administrative support to the senior executive team ensuring managing schedules, coordinating strategic business projects and composing and preparing correspondence and handling and coordinating confidential and sensitive information.
  • Assist with project management by creating assignments, tracking progress, and resolving issues.
  • Oversight of the Executive Briefing Center, coordinating speakers and accommodations.
  • Coordinate and manage the planning of the quarterly business reviews and other Leadership meetings.
  • Assist with the development of presentations for board meetings, operations meetings and other key meetings.
  • Prepare and maintain operations of documents and reports.
  • Perform administrative tasks as necessary.
  • Review operations across business entities within the areas of responsibility.
  • Develop comprehensive metrics collection to support evolving business needs.
  • Plan, manage, and account for operating budgets within the areas of responsibility.
  • Manage key relationships with external service providers and vendors.
  • Manage key relationships ensuring correct alignment with business priorities.

Qualifications

  • Bachelor's degree is required. (preferably in business administration, communications, project management, or similar).
  • Minimum of 8 years’ experience supporting C-Level managers, and, ideally, a highly distributed team.
  • 8-10 years of experience supporting executive teams.
  • Experience in office management or administrative roles.
  • Experience in project coordination and management.
  • Proficiency in Microsoft Office.
  • Experience with Concur, Workday, Oracle, Salesforce.com or similar systems.
  • Experience with Project Management software.
  • Open to Travel, as needed.
