Job Overview
The Director of Business Administration is responsible for contributing to the overall success and sustainability of DIU through effective stewardship of resources, accurate reporting, policy creation and creating a business strategy. The position involves overseeing and managing various aspects of the University’s business operations that primarily include the departments for Finance, Human Resources, and Business Administration.
Activities
· Financial Management:
o Direct staff involved in financial planning, budgeting, and monitoring financial performance
o Maintain yearly schedule of accounts payable (e.g., THECB surety bond, annual dues to SACSCOC, etc.)
o Ensure proper and optimized use of the university’s finance software.
o Participate in the Financial Aid committee by overseeing the use of financial resources in the scholarship process, providing budgets, reporting, and fiscal management.
o Work with the Provost to lead the University budgeting process.
· Policy Development: Develop policies and procedures that align with departmental goals and best practices.
· Risk Management: Identify and manage potential risks to the University, including financial, operational, and strategic risks. Developing strategies to mitigate these risks is also part of the role.
· Human Resources: Provide senior-level leadership to the department of Human Resources, making improvements to policies and procedures and providing guidance on legal matters. Ensure onboarding and offboarding comply with University policies and procedures, and oversee the provision of training for supervisors and users of HR software.
· Performance Monitoring and Reporting:
o Maintain and track key performance indicators (KPIs) and prepare reports and projections for the Leadership Team to use for strategic planning.
o Oversee the accurate and clear preparation of financial documents for board reporting.
· Administration: Maintaining DIU’s business-related functions including financial credentials (e.g., ECFA), bank accounts, etc. Streamlining processes and improving general administrative and business efficiency.
Communication
· Participate in the Leadership Team as one of its members, including multiple annual off-site planning retreats.
· Meet regularly with the Provost and as needed with the President.
· Able to effectively communicate using various platforms including Outlook, Whatsapp, Teams; disposition to learn new products (e.g., project management software, AI tools)
· Maintain professional correspondence with faculty/staff, vendors, organizations, and partners.
Qualifications
· Bachelor’s degree required, MBA or similar degree preferred.
· Small business ownership or CFO experience preferred.
· Experience in project management and department-level leadership.
· Strong oral and written communication skills
· Detailed orientation, analytical ability; strong skills in data management and reporting
· Fluency with standard corporate technology including Microsoft 365 suite, project management software, PowerBI, and ERPs.
Hours
· Full-time
· Normal office hours are 8-5, M-F. Occasional travel or overnight retreats required.
· Available after hours occasionally, when necessary.
