Position Overview
A private investment and operations office is seeking a highly organized and technology-forward finance leader to oversee financial administration, operational infrastructure, and a globally dispersed portfolio of residential and investment assets. This individual will play a key role modernizing processes, improving reporting visibility, and helping transition the office toward a more efficient digital operating environment.
The role combines hands-on financial management with operational oversight across multiple entities, properties, investments, and related family office activities.
Core Responsibilities
Financial Administration & Reporting
- Manage day-to-day accounting activities across multiple entities and accounts
- Oversee monthly financial reporting, reconciliations, and cash management
- Coordinate accounts payable, wire activity, reimbursements, payroll, and banking relationships
- Prepare budgets, liquidity forecasts, and consolidated financial summaries
- Monitor expenses related to properties, lifestyle operations, investments, and affiliated entities
- Develop dashboards and reporting tools that improve transparency and decision-making
Property & Asset Oversight
- Coordinate financial operations tied to a portfolio of domestic and international properties
- Track operating expenses, vendor contracts, maintenance costs, taxes, and insurance coverage
- Partner with property managers, service providers, and advisors to ensure efficient operations
- Help streamline recordkeeping and payment workflows across multiple locations
Investment & Entity Management
- Maintain reporting and tracking related to investment holdings and private funds
- Assist with capital activity, distributions, investment reporting, and performance analysis
- Support coordination with external investment managers, banking partners, legal counsel, and tax advisors
- Organize and maintain entity documentation, ownership records, and compliance materials
Process Improvement & Technology Modernization
- Lead efforts to digitize financial operations and reduce dependency on manual or paper-based processes
- Implement and optimize systems for payments, approvals, reporting, and document management
- Improve internal controls, operational procedures, and data organization
- Evaluate and enhance tools across accounting, workflow management, and financial operations platforms
Tax, Legal & Compliance
- Coordinate quarterly estimated tax payments and year-end filing requirements
- Maintain entity records, registered agent information, insurance policies, and renewal schedules
- Organize trust, estate, and corporate documentation, including compliance calendars
- Support foundation and philanthropic reporting requirements, including audits, grant documentation, and related filings
Desired Background
- 7+ years of experience in finance, accounting, operations, or investment administration
- Prior exposure to family offices, private investment environments, private equity, venture capital, or ultra-high-net-worth operations strongly preferred
- Experience managing multiple entities, accounts, and complex financial structures
- Strong systems orientation with an interest in automation and process efficiency
- Comfortable handling highly confidential information with professionalism and discretion
- Advanced Excel and financial analysis capabilities preferred
- Familiarity with modern financial and operational platforms is a plus
