We're a small marketing agency focused on experiential, video/photo production, social and strategy projects. We need a self-starter, proactive operations specialist who can make recommendations, ask for more work, and help guide the finances of the company

JOB DESCRIPTION

We are looking for a Business Operations Specialist with a passion for working in entertainment marketing and a thirst for being in a fast-paced working environment. The perfect candidate is highly interested in multicultural marketing, is operationally savvy (whether personally or professionally), is exceptionally organized with great attention to detail, enjoys working on finances and budgets and has great writing skills. This person ideally will also have a positive spirit and easygoing personality that will make our team and clients feel well taken care of. This person must have a willingness to work hard to make sure we continue to build the best multicultural agency in the world!

The ideal candidate will have worked in a professional setting, have a proficient understanding of company operations, to include contracting, budgeting, HR and other administrative tasks while being interested in working with TV networks, streaming services like Netflix and Hulu, or film studios.

RESPONSIBILITIES

Responsibilities include but not limited to:

Company Responsibilities:

  • Update and maintain Pop’N Yearly Budget, working with Director for oversight
  • Assist with creating yearly Pop’N P&L with goal revenue and expenses
  • Maintain and manage cash flow, budget analysis and P&L projections with Director oversight
  • Review credit card statements and check for accuracy
  • Update Expensify weekly and export to Quickbooks
  • Handle weekly and monthly QB transactions, set up each month for Director and Co-Founder review
  • Submit client security questionnaires
  • Submit and maintain diversity certifications
  • Manage payroll process for Director review and approval

Client Project Responsibilities:

  • Create & update project budgets as assigned and ensure they are client-ready for Director approval
  • Create and send vendor contracts for projects
  • Process vendor payments on a weekly basis
  • Assist Business Operations Director with reviewing client and vendor MSAs and SOWs, flagging any terms or conditions that need to be revised

EXPERIENCE

  • 5 to 7 years of professional work experience (organizational experience is a big plus)
  • Strong desire to work collaboratively with a team
  • Understanding of social media and/or events industry from an agency perspective
  • Experience with agency project budgets or similar
  • Experience with QB reporting
  • Experience building financial spreadsheets
  • Experience working in the entertainment industry is a plus
  • Experience in Google Drive, Google Suite, Expensify and Quickbooks (Slides, Sheets, Docs)
  • Bonus if you have legal contract experience

QUALIFICATIONS

  • 5 to 7 years of professional work experience (organizational experience is a plus)
  • A go-getter with a passion for doing things outside the box and a self-starter
  • Must be able to work in a fast-paced environment and work well under pressure
