About the Role
SmartScale360 is hiring a Bookkeeper (Billing-Focused) & Recruitment Support Specialist to support U.S.-based operations. This hybrid role combines bookkeeping, billing, accounts receivable (AR), insurance billing coordination, and recruitment support to ensure accurate financial processing and efficient workforce operations.
This role is ideal for candidates with experience in bookkeeping, billing, accounts receivable, QuickBooks, or administrative support, who are detail-oriented and comfortable working in a fast-paced remote environment.
Bookkeeping & Billing Responsibilities
- Manage accounts receivable (AR) and billing processes for U.S. clients
- Create and maintain care plans for long-term care insurance (LTCI) billing
- Process and submit insurance billing and documentation via VA portal
- Handle invoice creation, billing adjustments, and payment tracking
- Monitor outstanding balances, payment status, and collections follow-ups
- Prepare weekly billing reports, reconciliation summaries, and financial updates
- Maintain accurate records in QuickBooks and ERP systems
Recruitment Support Responsibilities
- Conduct initial candidate phone screenings
- Perform employment verification and reference checks
- Validate candidate work history and supporting documentation
- Follow up with candidates from social media and inbound leads
- Collect and update candidate data (availability, work type, schedules)
- Maintain accurate records in ATS/ERP systems
Required Qualifications
- Experience in bookkeeping, billing, accounts receivable (AR), or accounting support
- Proficiency in QuickBooks and Microsoft Excel / Google Sheets
- Strong attention to detail and high level of accuracy in financial data
- Excellent English communication skills (written and verbal)
- Ability to multitask across finance and recruitment support functions
- Experience with billing systems, scheduling tools, or workforce management platforms
- Reliable remote work setup
Nice to Have
- Experience in home care, healthcare billing, or insurance billing (LTCI)
- Familiarity with ERP systems or ATS platforms (e.g., Generations or similar tools)
- Exposure to VA billing, Optum Financial, or U.S. healthcare bookkeeping processes
