Position Title: Preschool Financial Administrator

Reports to: Director, First Evangelical Lutheran Preschool

Effective: April 24, 2025

Directly Supervises: N/A

Status: Part-time

FLSA: Salaried, Non-Exempt

Job Summary: The Preschool Financial Administrator is responsible for the effective bookkeeping and operations of the preschool, facilitating positive relationships among Preschool staff, parents, and the Church Congregation while providing a nurturing, Christian educational environment that is aligned with the most effective developmentally appropriate learning practices. The Preschool Financial Administrator is responsible for staff & student records, financial records, payroll, general school administration, as well as assisting in coordinating fundraising & special events. The Preschool Financial Administrator should understand and comply with the preschool’s policies, Maryland State Licensing, as well as local, state, and federal laws and regulations. This position requires strong supervisory, leadership, finance, and communication skills along with a warm & nurturing disposition.

Essential Duties and Responsibilities:

Administration

· Oversee policies of admission, attendance, and tuition as specified by the Preschool Board

· Maintain accurate child & employee records as mandated by the State

· Manage and submit employee timecards and leave

· Oversee employee onboarding and coordinate with Church HR

· Management of waitlist, enrollment, and future enrollment

· Manage all vendor relationships

· Support Director and staff with administrative tasks, i.e. printing, ordering, purchasing

· Provide classroom support when needed to allow teacher breaks or assistance in emergency situations.

Financial Administration

· Drives financial performance and productivity for all operational aspects of FLP

· Prepares annual budget/spending plan in accordance with the Director’s vision

· Provides FLP Board with annual budget for approval including tuition, fees, and staff compensation

· Ensures parent billings, account receivables, payroll, and collections are accurate and precise

· Monitor payment status and communicate with parents of delinquent accounts

· Inform Director when customer payments are past due or in arrears

· Prepares, together with the FLP treasurer, the monthly/annual reports for the Board

· Manage all finances surrounding fundraising

Communication

· Develop a strong rapport with Parents by being a “seen presence” in the school and being an effective communicator of changes or issues as they arise.

· Develop a strong rapport with the Preschool Board, Pastors, and Church staff by attending planned meetings and presenting monthly board reports

· Communicate effectively with Church Congregation. Periodically act as a representative of the preschool in person at church functions to promote understanding and support of the Preschool’s ministry. Encourage feedback regarding Preschool programs & activities

Marketing

· Be a representative of the Preschool in the community, build new relationships with community and business leaders

· Lead tours for prospective parents highlighting key features of our center and maintaining a strong connection with potential customers as needed

Qualifications & Skills

· Education:

o Bachelor’s Degree in qualifying field with previous experience in finance preferred

· Must be professional, friendly, inviting, self-motivated, loving, even tempered, and adaptable fostering a positive, nurturing environment for staff, students, and families

· Knowledge of early childhood development and appropriate practices

· Strong written and verbal communication skills

· Strong organizational skills

· Basic computer skills and familiarity with word processing, QuickBooks, spreadsheets and Brightwheel software

Job Type: Part-time

Pay: From $25.00 per hour

Expected hours: 20 per week
