Overview
Seeking a highly organized Administrative Assistant to support senior leadership within a fast-paced, client-facing environment. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities.
Key Responsibilities
- Manage executive calendars, scheduling meetings, calls, and appointments
- Coordinate domestic and international travel (flights, hotels, itineraries)
- Handle correspondence, emails, and follow-ups on behalf of leadership
- Prepare meeting materials, agendas, and documentation
- Track expenses and process reimbursements
- Support office operations, vendor coordination, and general administration
- Assist with event planning and internal/external meetings
Qualifications
- 2+ years of Executive Assistant or Administrative Assistant experience
- Experience in financial services, wealth management, or professional services preferred
- Strong skills in calendar management, travel coordination, and expense reporting
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Excellent communication, organization, and time management skills
- Ability to handle confidential information with discretion
- Proactive, detail-oriented, and able to multitask in a fast-paced environment
