Role Purpose:
The Administration Specialist provides administrative and procurement support to Siemens Real Estate (SRE) in KSA. The role ensures accurate processing of procurement requests, timely handling of utility payments, and systematic maintenance of contracts, leases, and compliance records, enabling smooth daily operations and audit readiness.
Key Responsibilities:
- Create and process SAP and OneSRM Purchase Requisitions (PRs) based on instructions from SRE.
- Prepare manual PRs for utility payments (electricity, water, and other services).
- Prepare Upfront Payment Requests (UPRs) and coordinate with Finance when required.
- Track PRs, POs, and invoices to ensure completeness and proper documentation.
- Maintain structured archives for utility bills, contracts, leases, service agreements, and compliance documents.
- Maintain trackers for contract expiry dates, renewals, and notice periods.
- Retrieve and provide documentation required for internal and external audits.
- Communicate with landlords on basic administrative matters and escalate operational issues to the Location Manager or Country Head.
Skills & Qualifications:
- 1-3 years of experience in administrative support, procurement coordination, or document control roles.
- Basic working knowledge of SAP, OneSRM, or similar procurement systems (training can be provided).
- Strong organizational skills with high attention to detail.
- Ability to work independently with remote supervision.
- Good English communication skills; Arabic preferred for landlord interaction.
