Role Description
The Admin Executive / Senior Admin Executive / Office Manager is responsible for ensuring the smooth and efficient operation of the office and administrative functions. This role involves managing office activities, supporting teams and leadership, and implementing processes that improve operational efficiency and workplace productivity.
Key responsibilities include:
- Manage daily office operations, including reception, correspondence, and facility management.
- Coordinate schedules, meetings, and travel arrangements for leadership and staff.
- Maintain office supplies, equipment, and vendor relationships.
- Prepare reports, presentations, and documentation to support management and departmental functions.
- Oversee administrative staff and provide guidance to ensure efficient operations (for Senior/Manager roles).
- Implement office policies, procedures, and best practices to optimize workflows.
- Serve as a point of contact for internal and external stakeholders, ensuring effective communication and support.
- Support HR and finance departments with administrative tasks, including payroll, onboarding, and expense management.
- Organize company events, meetings, and team-building activities.
- Monitor office budgets and assist in cost management and resource allocation.
Qualifications
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- 2–8+ years of experience in administrative, office management, or executive support roles.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication, interpersonal, and problem-solving abilities.
- Proficiency in Microsoft Office Suite, Google Workspace, and office management software.
- Ability to manage and mentor junior administrative staff (for Senior/Manager roles).
- Experience coordinating cross-functional teams and supporting leadership effectively.
- Knowledge of office operations, facilities management, and administrative best practices.
- Ability to prioritize tasks, meet deadlines, and work independently in a fast-paced environment.
