Overview:

Dunecht Estates is a diverse rural property-based business extending over 50,000 acres in Aberdeenshire and Kincardineshire.

Our business interests include residential and commercial property, farming, forestry, field sports, tourism, and minerals.

Dunecht Estates is owned by The Hon. Charles Pearson and his son, George Pearson.

The Estates are managed centrally from the Estates Office in Dunecht village, and the in-house management team operates from this office. The Estate also employs maintenance staff, housekeeping staff, foresters, gamekeepers, ghillies, farmworkers and tourism staff, bringing the total number of full-time employees to circa 50.

Role & Essential Requirements:

The Accounts Assistant will be based in our Estate Office at Dunecht where you will form part of a four-person Accounts Team reporting to the Assistant Accountant and Financial Manager.

You will also work closely alongside other departments that are key to our success, including Property and Maintenance, Tourism, Game and Field Sports and Forestry Enterprises.

We are seeking an individual with previous experience in purchase ledger and accounts payable functions within a busy finance environment. Experience of accounting software, accurate data entry, and general office administration is essential.

Candidates should possess:

·      A good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.

·      Strong organisational and communication skills.

·      Excellent attention to detail and accuracy.

·      The ability to manage competing priorities and meet deadlines.

Key Responsibilities and Tasks:

·      Purchase Ledger: coding and processing invoices, processing weekly payment runs with adequate remittance advice details, checking/monitoring supplier statements and dealing with any overdue payment demands. Main point of contact for all accounts payable enquiries.

·      Dunnottar Castle: Review and process daily takings. Prepare monthly report/chart of visitor numbers.

·      Sales Ledger: preparing, coding, checking and processing sales invoices as required (e.g. Dunnottar Castle Tour Groups, Miscellaneous Recharges, Internal Recharges, Utility bills, Game sales).

·      Internal Recharges: raising and processing inter-company sales invoices between the Estate's individual businesses. Raise sales, code and process purchases and balance relevant accounts per agreed frequency.

·      Banking: receiving payments from Estate tenants/customers, banking cash and cheques as per agreed procedures and completing daily bank reconciliation.

·      Utility Bills: Code and process utility bills for various business premises electricity supplies, electricity bills for vacant properties and various charges for water (mainly Business Stream metered and unmeasured). Ensuring any estimated readings are reasonable and actual meter readings are sought at agreed intervals.

·      Insurance Policies: check renewals and allocate premiums. Assist with certain insurance claims (e.g. roadside dyke impact damage).

·      Estates Mobile Phones/Landlines: Administer Mobile Phones/Landlines billing and contracts. Main point of contact for mobile phone queries from estate workers.

·      Estate Legal Fees: Prepare quarterly legal fee summaries.

·      Petty Cash: Process and record authorised reimbursements and maintain petty cash float in accordance with agreed procedures.

·      Ad Hoc Duties: Undertake ad hoc tasks, appropriate to experience and training, as required by the Assistant Accountant or Financial Manager. Also, working as part of the general Estates Office Team you will at times be required to assist on other tasks such as monitoring/handling shared mailbox, distributing mail/email, scanning and filing/archiving documents, answering the telephone, reception, etc.

Required Skills and Experience:

·      Proven experience in a busy finance department or office setting.

·      Excellent communication and organisational skills.

·      Computer literate with a full working knowledge of Microsoft Office packages.

·      Team player that is flexible, motivated and enthusiastic.

·      Ability to prioritise a varied workload.

·      Numerate with excellent attention to detail.

·      Honesty and integrity

·      The successful candidate will be required to maintain strict confidentiality and handle sensitive financial information with discretion.

Working Environment

Whilst the estate spans diverse landscapes and operations, from farmland and forests to residential lets, workshops, and visitor attractions, this role is desk-based within the open plan Estate Office in Dunecht from which the Accounts Team and other support and professional staff of fourteeen are based.
